How is this for a statement made to a Maintenance Supervisor - "I can complete 50 assigned Work Orders for you each week if I don't have to use that!" (Pointing to the maintenance management software on a desktop computer). You can't argue with his logic but the maintenance supervisor still was asking for this maintenance technician to be able to at least perform simple work order closing in the maintenance management software.
This encounter begs the question: Who should electronically finish work orders in your CMMS Software at your plant or facility? After working many years as a Computerized Maintenance Management Software Trainer to these groups you would think I could come up with a more definitive answer than "It Depends!"
When your front-line maintenance technicians are mobile they typically still have an opportunity to access their Maintenance Software at a workstation PC. The PC may be located in their maintenance shop, break area or near a central location. But, many argue that this group should ONLY be "turning wrenches" not entering data into Maintenance Management Software. Their expertise lies in a hands-on approach to repair and maintain assets, not in front of a PC. Can't they do both?
Completing their hired job at hand and recording their work in the Work Order Software would be ideal. How simple can we make this in the CMMS Software AND still ensure worthwhile tracking of data? One approach is sometimes to start simply.
Perhaps the maintenance technician will only record their "daily log" or trouble-call work orders. Other work transactions such as Preventive Maintenance or Work Orders coming from plant/facility Work Requests can be on paper and then assigned to a maintenance tech. After the work is finished, these forms are returned back to a maintenance lead or maintenance supervisor/manager. This supervisor or manager would then electronically complete the work and record the items manually written on this work order form in the Computerized Maintenance Management Software.
This allows the best of both worlds. Maintenance techs are empowered to finish their job in the CMMS Software without spending too much time there. While Supervisors and Managers still have oversight and can distinguish between Unscheduled, Planned and Scheduled Work.
